I'm Running Late

It happens! Here's what to do if you're going to be late to a client visit.

1
Call or text your client to let them know your estimated arrival time.
2
Notify the office by tapping the button below or calling your coordinator.
3
Clock in using WellSky EVV when you actually arrive — do not clock in early.
4
If you'll be more than 15 minutes late, a schedule adjustment may be needed.

My Client Canceled

If your client cancels a scheduled visit, follow these steps:

1
Do NOT clock in on WellSky for the canceled visit.
2
Report the cancellation immediately using the button below.
3
Note who canceled (client, family member, etc.) and the reason if given.
4
Your coordinator may offer you a replacement shift if available.

What Should I Do If…

Tap a scenario for step-by-step guidance

Client Emergency

If your client is experiencing a medical or safety emergency:

1
Call 911 immediately if there is a life-threatening situation.
2
Stay with the client and provide basic first aid if trained.
3
Call the LIVEWELL office as soon as it is safe to do so.
4
Document the incident by submitting a support ticket with details.

Client Isn't Home

If you arrive and your client is not home or not answering:

1
Wait 10 minutes and try knocking/ringing again.
2
Call the client on their listed phone number.
3
Call the office to report the situation and get guidance.
4
Do NOT clock in unless you have provided services.

EVV Isn't Working

If WellSky EVV is not functioning properly:

1
Check your internet connection — EVV requires mobile data or Wi-Fi.
2
Force close and reopen the WellSky app.
3
Enable location services for the WellSky app in your phone settings.
4
If still not working, call the office — they can do a manual clock-in for you.
5
Document the time you arrived and left so it can be entered later.

I Feel Unsafe

Your safety is the top priority. If you feel unsafe at any time:

1
Leave the situation if you are in immediate danger. Go to a safe location.
2
Call 911 if there is a threat of violence or harm.
3
Contact LIVEWELL immediately — we take all safety concerns seriously.
4
File an incident report as soon as you are safe.

My Pay Doesn't Look Right

If you notice a discrepancy in your paycheck:

1
Check your timesheets to confirm all hours were submitted on time.
2
Compare your EVV records in WellSky with your submitted timesheets.
3
Submit a payroll support ticket with the specific dates and amounts in question.
4
Our team will review and respond within 2 business days.

EVV & Scheduling

Electronic Visit Verification (EVV) is required for all in-home visits. LIVEWELL uses WellSky for EVV.

How to Clock In

1
Open the WellSky app on your phone when you arrive at the client's home.
2
Select the correct client and visit type.
3
Tap "Clock In" — make sure location services are enabled.
4
When your visit is complete, tap "Clock Out" before leaving.

Important Reminders

• Always clock in at the client's location — GPS verification is required.

• Never clock in before arriving or clock out after leaving.

• If EVV isn't working, call the office for a manual entry.

Dorothy Mitchell

Personal Care · Updated March 15, 2026

Care Goals

Maintain Dorothy's independence and safety at home. Support her daily living activities while preserving her dignity and routines. Monitor health status and report changes to coordinator.

Authorized Services

Personal Care — 16 hours/week (Mon, Wed, Thu, Fri · 2:00–6:00 PM). Authorization valid through September 30, 2026.

Daily Tasks

  • Assist with bathing and personal hygiene (shower preferred, not bath)
  • Prepare dinner — Dorothy has a low-sodium diet per physician orders
  • Light housekeeping: kitchen, bathroom, living areas
  • Medication reminders (medications are in the blue organizer on kitchen counter)
  • Laundry as needed (Wednesdays typically)
  • Grocery shopping (Thursdays — list is on the fridge)

Health & Safety

Dorothy has mild hearing loss in her left ear. Speak clearly and face her when talking. She is allergic to penicillin. She uses a cane for longer walks but moves independently around the house. Monitor for signs of dizziness or unsteadiness.

Keep front door locked at all times per family request. Dorothy may occasionally forget and try to go outside unaccompanied — gently redirect.

Preferences & Routines

Prefers to be called "Dot." Enjoys watching Jeopardy at 5 PM — try to have dinner prep done before then. Likes her tea with one sugar, no milk. Enjoys conversation about her grandchildren and gardening.

Communication

Log all visit notes in the app after each shift. Report any falls, health changes, or behavioral concerns immediately to your coordinator Jessica Thompson. Daughter Sarah Mitchell should be contacted for non-urgent family matters.

James Wilson

Companion Care · Updated February 20, 2026

Care Goals

Provide meaningful social engagement and companionship for James. Support his wife Margaret with respite time. Encourage light physical activity and mental stimulation.

Authorized Services

Companion Care — 6 hours/week (Tue, Fri · 9:00 AM–12:00 PM). Authorization valid through August 31, 2026.

Visit Tasks

  • Engage James in conversation — he enjoys history, current events, and baseball
  • Encourage a short walk around the block (weather permitting, use walker)
  • Light meal prep: snack or lunch. No dietary restrictions
  • Medication reminders at 10:00 AM (wife usually sets them out)
  • Play cards or board games — he likes Scrabble
  • Read newspaper or articles aloud if his eyes are tired

Health & Safety

James uses a walker at all times. Ensure pathways are clear of tripping hazards. He has mild cognitive decline — may repeat stories or forget recent events. Be patient and do not correct him. Monitor for confusion or agitation and report any changes.

Preferences & Routines

James is a retired high school history teacher and loves to share stories about his career. He drinks black coffee in the morning. He prefers to sit in his recliner by the window. Do not rearrange items on his desk — he has a specific system.

Communication

Margaret is usually home during visits but uses the time for errands or rest. Check in with her briefly at arrival and departure. Log notes after each visit. Report concerns to coordinator Jessica Thompson.

Ruth Kim

Homemaker Services · Updated January 10, 2026

Care Goals

Support Ruth in maintaining a clean, safe, and comfortable home environment. She is independent with personal care and values her autonomy — homemaker services focus on tasks that have become physically difficult for her.

Authorized Services

Homemaker — 8 hours/week (Wed, Sat · 10:00 AM–2:00 PM). Authorization valid through July 31, 2026.

Visit Tasks

  • General housekeeping: vacuum, mop, dust, clean kitchen and bathroom
  • Laundry: wash, dry, fold, and put away
  • Meal prep: prepare 2–3 meals that can be refrigerated for the week
  • Grocery shopping (Ruth will prepare a list or go with you)
  • Light errands: pharmacy pickup, mail, recycling
  • Organize and declutter as requested — always ask before moving things

Health & Safety

Ruth has arthritis in both hands and mild back pain, which limits her ability to do heavy cleaning. She manages her own medications and does not need reminders. She is alert and fully oriented. Has a small dog named Biscuit — friendly but may bark at first.

Preferences & Routines

Ruth has strong preferences about how her home is organized. Always ask before rearranging anything. She enjoys Korean cooking and may teach you recipes. She watches K-dramas in the afternoon — try not to vacuum during that time. She prefers eco-friendly cleaning products (under the kitchen sink).

Communication

Ruth communicates directly and will tell you what she needs. Son David Kim is the emergency contact but Ruth prefers to handle things herself when possible. Log notes after each visit. Report any home safety concerns to coordinator.
